The Exoplanet Demographics meeting organizers are committed to making this meeting productive and enjoyable for all participants, regardless of gender, sexual orientation, physical appearance or ability, ethnicity, nationality, or religious beliefs. We will not tolerate harassment of participants in any form. Please follow these guidelines:

• Behave professionally. Harassment and sexist, racist, or exclusionary comments or jokes are not appropriate. Behavior that disrupts the virtual meeting in any way is not appropriate. See below for further explication of harassment.
• All communication should be appropriate for a professional audience of people from many different backgrounds. Sexual language and imagery are never appropriate in any conference-related communication.
• All conference communication should be through official conference platforms (Zoom, Slack) and be limited to conference registrants. Participants should not use the meeting platform to request to meet with other participants off the meeting platform in personal, non-scientific capacities (e.g., via cell phone for personal conversations).
• Participants should not provide meeting links to non-participants.
• No audio or visual recordings (including screenshots) should be made by attendees of any conference materials without explicit permission from the author and all participants who would appear in the recording or image. All recordings will be managed by the conference team.
• Be kind to others. Do not insult or put down other attendees. Be especially considerate and supportive to those more junior in their careers than yourself.

Harassment includes, but is not limited to:

• Verbal comments that reinforce social structures of domination, related to gender, gender identity and expression, sexual orientation, physical appearance or ability, race, age, or religious beliefs
• Sexual images in public spaces
• Deliberate intimidation, stalking
• Harassing photography or recording
• Harassment on social media
• Sustained disruption of talks or other events
• Unwelcome sexual attention
• Advocating for, or encouraging, any of the above behavior

Enforcement

Participants asked to stop any harassing behavior are expected to comply immediately. If a participant engages in harassing behavior, event organizers retain the right to take action to keep the event a welcoming environment for all participants. This includes warning the offender or expulsion from the conference.

Event organizers may take action to redress anything designed to, or with the clear impact of, disrupting the event or making the environment hostile for any participants.

We expect all participants to follow the guidelines outlined here during all conference activities. The conference Slack is considered a conference area, so all communications in all channels (including private messages) must avoid harassment of all types. Inappropriate behavior in a private Slack message will also result in removal from the conference platform.

Reporting

If someone makes you or anyone else feel unsafe or unwelcome, or you witness someone being made to feel unsafe or unwelcome, please report it as soon as possible to the LOC or SOC. LOC and SOC members can be found listed below.

We can't follow up an anonymous report with you directly, but we will fully investigate it and take whatever action is necessary to prevent a recurrence.

Personal Report

You can make a personal report by:

• Calling or text messaging this phone number: (626) 415-8443. Calling this phone number will reach a member of the LOC. It will be continuously monitored for the duration of the event.
• Contacting a member of the SOC or LOC.

When taking a personal report, we will ensure you are safe and cannot be overheard. We may involve other event staff with your consent to ensure your report is managed properly. We will handle your concerns as respectfully as possible. You won't be asked to confront anyone, and we won't tell anyone who you are. Your emails will not be shared or forwarded, and if reports are made by phone no recordings will be made of any calls or voicemails.

Our team will be happy to connect you with appropriate virtual support services in order to assist you to feel safe for the duration of the event. We value your attendance.
